Find posts or articles

On Posts or Blogs, the tabs sort content by workflow status:

  • All
  • Drafts
  • Pending: waiting for approval
  • Scheduled
  • Flagged

Narrow the list with these filters:

  • Search content...
  • Space
  • Marker: Pinned, Featured, or Hidden
  • Date range

Each row shows the Title, Author, Status, Date, and Engagement (likes, comments, views). Click View Details in a row's ⋯ menu to open the item with its Comments and Reports. In Comments, you can hide, unhide, or delete single comments.

Act on a single post or article

Open the row's ⋯ menu:

  • Edit: opens the post or article in the editor.
  • Feature / Unfeature
  • Pin / Unpin: pins the post to its space. Posts only.
  • Close comments / Reopen comments: locks or reopens the discussion.
  • Hide / Unhide: removes the post from view for everyone except its author.
  • Publish
  • Move to Draft: articles only.
  • Schedule… / Reschedule…
  • Publish Now
  • Cancel Schedule: stops a scheduled item from publishing. An article goes back to Drafts; a post moves to Pending to wait for approval.
  • Delete

When you hide an item or close its comments, you can add a Reason (optional). A hide reason is shown to the author. A close-comments reason is shown to everyone who opens the post. See Pin, lock, or hide a post.

Approve or reject pending posts and articles

On the Pending tab, each item has Approve and Reject:

  • Approve publishes the item immediately.
  • Reject permanently deletes it.

Posts land here when a space or the community requires post approval, or when an automated rule holds them. The Moderation → Pending Content queue shows held content too. See Review held and pending content.

Change many posts or articles at once

Select rows with the checkboxes. A bar appears with Feature, More, and Delete.

More includes:

  • Pin, Unpin
  • Close comments, Reopen comments
  • Hide, Unhide
  • Publish
  • Move to Draft (for articles)
  • Close (Q&A), Reopen (Q&A) (for questions)

On the Pending tab, the bar offers Approve and Reject instead. If some items can't be updated, Some items were not updated shows how many succeeded and failed.

Delete posts, articles, and files

Deleting a post or article: Delete asks you to confirm ("This action cannot be undone."). Deleted posts don't appear in any tab, and there's no way to restore them. To take a post down but keep it, use Hide instead.

Media Library:

  • Filter by File type (Images, Videos, Audio, Documents) and search with Search files....
  • Each file has Preview, Download, and Delete.
  • If a file is still used somewhere, you see This file is still referenced. Check I understand this will break referenced content. and click Delete anyway. Affected posts then show a "media unavailable" placeholder.
  • Owners and admins can also select several files and click Delete Selected.

Manage Q&A, events, live streams, and hashtags

  • Q&A: tabs All, Open, Answered, Closed, and Pending review. Filter by acceptance, answers, or age. From a row you can close, reopen, hide, or delete a question, or select several and use Bulk close with a reason. See Run a Q&A space.
  • Events: review, approve, and edit events. Owners and admins can also create, cancel, and delete them. See Create an event.
  • Live: monitor live streams. Owners and admins can Terminate live stream (a reason is required) or Take down replay.
  • Hashtags: view usage and trends. Owners and admins can Block a hashtag, which hides posts that use it from feeds, or Unblock it. Hashtags can't be renamed, merged, or deleted.
