Events bring your community together in real time. In MateFlow you can schedule a single gathering or a recurring series, collect RSVPs, keep attendees informed, and review how each event performed โ all from the admin area. This guide covers the full lifecycle.
Create an event
Open Events and click Create event. Give it a title (up to 100 characters), an optional cover image, and a description. Then set the essentials:
- Event type โ choose In-person, Online, or Hybrid. This decides which location fields appear.
- Location โ add a physical In-person location and/or an online Meeting URL depending on the type.
- Date & time โ pick start and end times plus a timezone. The form defaults to your browser timezone and a one-hour duration.
- Host space โ the space the event belongs to.
- Additional settings โ an optional Capacity (leave blank for unlimited) and an external link.
RSVPs, capacity, and waitlist
Members respond with a three-way RSVP: Attending, Maybe, or Not going. If you set a capacity and it fills up, new attendees are placed on a waitlist and are upgraded automatically when a spot opens. Members can also set a personal reminder (15 minutes, 1 hour, or 1 day before) and export the event to their calendar as an .ics file.
Run a recurring series
When creating an event, turn on Make recurring to generate a series. Choose a frequency โ Weekly, Every 2 weeks, or Monthly โ pick the day, and set an end condition (end by a date, or after a number of occurrences, up to 52). A preview shows how many events will be created and lists the first dates. Series events display a Series badge with the occurrence number.
When you edit a series event you can apply the change to this occurrence only or to this and future occurrences. To cancel, use Cancel series and choose whether to cancel from this occurrence forward or the whole series; registered attendees are notified and you can include a reason.
Manage attendees
The Attendees tab lists everyone who has responded, with their status, ticket, check-in state, and registration date. You can search and filter by status or check-in, check attendees in (individually or in bulk), change someone's status, and export the list to CSV (admins can include email).
Send announcements
Use Send announcement to notify everyone who RSVPed. Write a title and a message (Markdown supported) and MateFlow delivers it both as an in-app notification and by email. A history of recent announcements shows what was sent and to how many recipients.
Review analytics
The Analytics tab summarizes performance across all time or the last 7 or 30 days:

When a capacity is set, a utilization bar shows how full the event is and how many are on the waitlist.
