Mateflow ("we," "our," or "us") is a social community SaaS platform. This Privacy Policy explains how we collect, use, share, and protect your information when you use our Service.

Mateflow hosts many independent communities, so our privacy role depends on the data involved:

• Platform data. For account, billing, and platform-level information, Mateflow is the data controller and this policy applies directly.
• Community member data. For personal data that members share inside a community, the Community Owner is the controller and Mateflow acts as a processor on their behalf. That community's own privacy notice and practices also apply.

If you are a member of a community, contact that Community Owner about how they handle your data; you can contact us for anything relating to the platform itself.

Personal Information

We may collect personal information that you provide to us, including:

• Account details such as name, email address, and password.
• Profile information, avatars, and public bio fields.
• Community content you post, upload, or share.
• Messages and interactions within communities.
• Knowledge sources and documents you connect to AI features.
• Organization or team details if you manage a community.
• Payment and billing information (processed by our payment providers).
• Support requests and communications with us.

Automatically Collected Information

When you access our Service, we automatically collect certain information, including:

• Log and usage data (IP address, browser type, pages visited, actions taken).
• Device and network information.
• Approximate location derived from IP address.
• Cookies and similar tracking technologies.
• Crash reports, error logs, and stability diagnostics from our mobile apps — including the device model, operating system and app version, whether the app crashed or stopped responding, and the sequence of screens visited and network requests made in the moments before the failure.

Crash and stability diagnostics are associated with your account so that we can tell a problem affecting one person from one affecting many. They are deliberately narrow: we exclude the content of your posts and messages, the contents of requests you send, and any credentials, and we remove such values before a report leaves your device. We do not use this data for advertising, and we do not use it to track you across other companies' apps or websites.

We use the information we collect to:

• Provide, personalize, and improve the Service.
• Operate community features such as feeds, chat, events, and spaces.
• Power optional AI features you choose to use.
• Process transactions, manage subscriptions, and facilitate member payments.
• Send service, security, and support communications.
• Respond to your questions and requests.
• Send marketing communications (with your consent or where permitted).
• Monitor usage trends and measure performance.
• Diagnose and fix crashes, freezes, and other stability problems in our apps.
• Detect, prevent, and address abuse, fraud, and technical issues.

• Within Communities: Your profile and content are visible to members based on the community's privacy settings.
• Community Administrators: Admins may access member data to manage their communities.
• Service Providers: With vendors that help us run the Service (hosting, analytics, support, payments).
• Business Transfers: In connection with a merger, sale, or acquisition.
• Legal Requirements: When required to comply with law or protect rights and safety.
• With Your Consent: When you give explicit permission.

Service Providers We Rely On

The categories of service providers that process personal data on our behalf to operate the platform include:

• Cloud hosting and database infrastructure — for account and platform data.
• Content delivery and object storage — for media such as avatars.
• Transactional email delivery — for verification and notification emails.
• Analytics, customer support, and payment processing — to run and improve the Service.
• Crash and error reporting — to detect and diagnose failures in our mobile apps.

These providers act only on our instructions and under data processing agreements. When you sign in with a third-party login provider such as Facebook, the profile information you authorize (for example your name, email address, and profile picture) is stored and processed by these same providers solely to operate your account. We do not sell this data or share it with any third party for their own purposes.

When you use Mateflow's AI features, the content and knowledge sources you connect are processed to generate responses within your own community. We do not use this content to train shared or third-party AI models without your permission. AI processing may involve trusted AI service providers that act on our behalf under contractual confidentiality and security commitments.

We retain your personal information for as long as necessary to provide the Service and for legitimate business purposes. When you delete your account, we will delete or de-identify your personal information, unless we are required to retain it for legal or security reasons.

Crash reports and stability diagnostics are kept for a short, fixed window — no longer than 90 days — and are then deleted automatically.

Depending on your location, you may have the following rights:

• Access: Request access to your personal information.
• Correction: Request correction of inaccurate information.
• Deletion: Request deletion of your personal information.
• Data Portability: Request a copy of your data in a portable format.

If you are a community administrator, you may have additional access to member data within your community. You are responsible for how you use that data and for complying with applicable laws and your own community policies.

Our Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you become aware that a child has provided us with personal information, please contact us.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
