When a member reports (flags) a post, comment, event, message, or another member, the report goes to the Reports Queue in the admin console. Review each report, then close it with an action.

Who can do this: Owners, admins, and moderators. A custom role needs Resolve moderation items to act. With only View moderation queue, it can read reports but not resolve them. · Where: Web (admin console). Space moderators handle reports about their space in the space's review queue. · Plan: No plan requirement.

Find reports in the Reports Queue

Go to Admin → Moderation → Reports Queue. The queue opens on Pending reports. The totals at the top show Pending Reports, Resolved Today, Avg Resolution Time (30d), and Resolved (30d).

Narrow the list with the search box and these filters:

  • Type: Posts, Comments, Users, Events, or Messages.
  • Status: Pending, Resolved, Dismissed, or Revoked.
  • Severity: Critical, High, Medium, or Low. Mateflow sets the severity from the reason the member chose, so a report for violence or hate speech ranks above one for spam.
  • Date range.

Each row shows the reported Target, the Reporter, the Reason, the Severity, the Status, and when it was Reported.

Open a report's details

Click a report to open Report Details. It shows:

  • the Reason and the Reporter Note (any details the member added);
  • the Reported Content, with an Open button that shows the content in your community;
  • Target History: earlier moderation actions on the same content or member, so you can spot repeat problems;
  • the Reporter, and a Timeline of when the report was made and resolved.

A reported direct message shows "Direct message — open details to view" in the queue. Open the report to read it.

Resolve a report

Pick one action for each report:

Action What happens
Dismiss Closes the report. The content stays unchanged.
Warn User The author gets a warning notification with the reason you choose. Their account keeps working.
Remove Content Removes the reported post or comment and notifies the author. Only offered for posts and comments. A removal can't be appealed.
Suspend User Suspends the member's account for 7 days. Only offered for reports about a user.
Ban User Permanently bans the member. They can appeal. Only offered for reports about a user.

To resolve a report:

  1. In Report Details, click the action in the Actions card. In the queue, you can also choose it from the report's ⋯ menu.
  2. For Warn User and Remove Content, choose the Reason shown to the member: community guidelines violation, spam, harassment or abuse, illegal content, or off topic. The member sees only this category.
  3. Add a Moderator note of up to 500 characters. It's required for Remove Content, Suspend User, and Ban User, and it's recorded in the audit log. For Ban User, the member sees this note as the ban reason on their appeal page, so write it for them to read.
  4. Click the confirm button.

The member who filed the report gets a notification: "Your report was reviewed and action was taken" or "Your report was reviewed — no action was needed."

Resolve several reports at once

Select reports with the checkboxes. The bar that appears offers Dismiss and Warn User. Mateflow processes each report on its own; reports that fail stay selected and show why. Warnings sent in bulk use the reason "community guidelines violation".

What each report status means

  • Pending: waiting for a decision.
  • Resolved: a moderator took action, such as a warning, removal, suspension, or ban.
  • Dismissed: a moderator closed the report without action.
  • Revoked: the member who filed the report withdrew it. There's nothing to do.

Things to know about resolving reports

  • If another moderator handles a report first, you'll see "This report was already handled by another moderator," and the page refreshes to show their decision.
  • You can't warn, suspend, or ban staff from a report. A member who holds a site role (admin, moderator, billing admin, or a custom role) is protected.
  • Suspend User always suspends for 7 days and doesn't ask for a length. The Until column on Admin → Moderation → Banned & Suspended shows when it ends. Owners and admins who want to choose the length can suspend from the member's profile instead. See Ban, suspend, or restrict a member.
  • Lock Thread and Ban From Space aren't in the Reports Queue. Space admins and space moderators use them from the space's review queue.
