A workspace in the creator dashboard (app.mateflow.com) holds your communities, the teammates who help run them, and the cards that pay for them. This guide shows how to invite teammates, choose their workspace role, give them access to billing and revenue, and manage invitations.
Who can do this: The workspace owner, and workspace admins for Member and Viewer teammates. Only the owner can add admins or turn on Finance access. · Where: Web (creator dashboard). · Plan: Not tied to a platform plan.
Workspace roles vs community roles
Workspace roles only control what a teammate can do in the creator dashboard:
| Workspace role | What they can do |
|---|---|
| Owner | Everything, including billing, Stripe, Finance access, and transferring the workspace. There's one owner. |
| Admin | Full access — manage communities, members, and settings. Admins can also delete or transfer communities. They don't see billing or revenue unless the owner turns on Finance access. |
| Member | Can view and edit communities. Members can't delete a community or transfer it. |
| Viewer | Read-only access. |
A workspace role doesn't give access to a community's admin console. To let a teammate manage members, content, or settings, invite them to the community and give them a community role. Only the community owner can change community roles. See Team roles and permissions and Invite members.
Invite a teammate to your workspace
- Go to Dashboard (app.mateflow.com) → Workspace. The page is called Team.
- Click Invite member.
- In Invite team member, enter the Email address and choose a Role: Admin, Member, or Viewer. Only the owner can choose Admin.
- Click Send invitation.
The teammate gets an email with a link. They sign in (Sign in to accept) or click Create a new account, then click Accept invitation. They must use the account for the email address you invited; otherwise they see Wrong account.
Manage pending invitations
Invitations that haven't been accepted appear under Pending invitations with their Role and Expires date.
- Click Resend to send the email again. This also refreshes the expiry date. If you resend too soon, you're asked to wait a few minutes.
- Click Cancel and then Cancel invitation to withdraw it.
If an invitation expired, the teammate sees Invitation expired and needs a new invitation.
Change a teammate's role or remove them
In the Members list, pick a new role in the teammate's Role menu. To remove someone, click Remove and confirm.
- The owner can change or remove anyone except themselves.
- Admins can change or remove Members and Viewers, but not other admins.
- Invited teammates can be changed once they're Active.
Give a teammate Finance access
Finance access lets a teammate see Billing and Revenue in the creator dashboard. Without it, those pages are hidden, even for admins.
- Go to Dashboard (app.mateflow.com) → Workspace.
- In the Finance column, turn on the switch for the teammate.
Finance access is view-only. Teammates with it can see invoices, payment methods, and revenue, but can't change billing, cards, or Stripe. On billing settings they see You have read-only access. Billing managers can make changes. Only the owner can turn Finance access on or off; the owner always has it.
Rename or leave a workspace
- Rename: the owner and admins click Rename on the Workspace card, enter a Workspace name, and click Save.
- Leave: teammates other than the owner click Leave workspace and confirm with Leave. They lose access to the workspace's communities, and the owner can invite them back.
- Transfer: the owner can hand the whole workspace to a teammate with Transfer ownership. See Transfer community ownership.
If you belong to several workspaces, switch between them with the workspace switcher. Click New workspace there to create another one.
Troubleshooting workspace invitations
Symptom: Invite member is missing, or the Finance column shows Yes or No instead of a switch. Why it happens: Only the owner and admins can invite, and only the owner can change Finance access. Fix: Ask the workspace owner.
Symptom: A teammate can see the community in the dashboard but can't open its admin console. Why it happens: Workspace roles don't include admin console access, and only the community owner can jump into the admin console from the dashboard. Fix: Give the teammate a community role, then have them sign in to the community directly.
