Everything about your community's plan, payments, and usage lives in one place: the Billing area of your admin, under Admin → Billing. This guide walks through each part so you always know where to look and what a change will cost.
Your plan at a glance
The billing Overview shows your current plan, its price and billing cycle (monthly or yearly), and a status badge — Active, Trial, Cancels soon, Past due, or Cancelled. Alongside it you'll see your renewal date and a live Usage panel tracking members, storage, and other metered limits. If you cross about 80% of a limit, MateFlow flags it and suggests upgrading before anything is disrupted.
Changing your plan
Select Change plan (or Subscribe if you're on a card-free trial) to open the plan drawer. There you can compare tiers side by side, review what each includes — member and storage caps, white-label, SSO, gamification, email marketing, paid memberships, and more — and pick a new one.
- Preview before you commit. Before confirming, MateFlow shows a transition preview with the prorated amount, so you only pay for what you use when moving mid-cycle.
- Upgrades and downgrades both apply immediately, with any feature or limit impacts spelled out first.
- Enterprise needs? Use Contact sales from the plan drawer for custom pricing.
Payment methods, invoices, and tax details
The Payment methods card manages your cards through a secure Stripe-hosted customer portal — use Manage to add, replace, or remove a card. Expand Billing address & tax details on the same page to keep your invoicing information accurate.
Under billing History you'll find every invoice, filterable by status (paid, pending, failed, refunded) and searchable. Open any row for a full breakdown, or download individual invoices for your records.
On-demand credits and your wallet
Owners can buy extra capacity beyond the plan from the Add-ons & on-demand panel. It centers on a money Wallet that funds purchases.

| Wallet balance | A money balance you top up with Add funds. Purchases draw from it first. |
| Buying credits | Buy packs of extra capacity (for example AI requests or storage) per resource. |
| Roll-over | Purchased credits don't expire and roll over; your monthly plan quota still resets each month. |
| Auto-recharge | Optionally buy a chosen pack from the wallet automatically when the balance drops below a threshold, within a required monthly spending cap. |
Because auto-recharge is currently funded from the wallet, keep it topped up so top-ups can settle. Payments confirm via webhook, so a balance may take a few seconds to update after checkout.
Cancelling or reactivating
If you need to cancel, choose Cancel subscription from the Overview. You'll be asked a quick reason, may be shown a retention offer, and your community keeps full access until the end of the current billing period. Changed your mind? A subscription set to cancel shows a Reactivate button so you can resume before it lapses.
