Change or cancel your plan

Your plan & billing · 4 min read

You can move your community to a different platform plan, switch between monthly and annual billing, or cancel. Changes are made in the admin console, and Mateflow shows you the cost and timing before anything is charged.

Who can do this: Community owners, admins, and billing admins (anyone who can manage the community's billing). · Where: Web (admin console; some workspace billing managers use the creator dashboard). · Plan: Applies to every platform plan. For custom Enterprise pricing, contact sales.

Change your platform plan (upgrade or downgrade)

  1. Go to Admin → Billing → Overview and click Change plan. You can also click Change plan on Admin → Billing → Plan & Usage.
  2. On Choose a Plan, choose Monthly or Annual. Click Compare all features to see every plan side by side.
  3. Click Upgrade or Downgrade on the plan you want. For an Enterprise plan, click Contact Sales and send the request form.
  4. In Review Changes, check the Current Plan and New Plan, the Payment Summary, and any Features Gained, Features Lost, and Limit Changes. Click Add promo code if you have one.
  5. Click Confirm Change, or Continue to Checkout if payment confirmation is needed.

The Payment Summary tells you when the change applies:

  • This change will be charged immediately on a prorated basis.
  • This change will take effect at the end of the current billing period. — you keep your current plan until then.
  • Payment confirmation is required before this change becomes effective. — you finish paying in Stripe checkout.

Confirm a downgrade that removes features

If a downgrade removes features you use or puts you over a new limit, you see Confirm Downgrade Impact instead of Review Changes. Read the list, tick I understand and accept the impacts of this downgrade…, then click Confirm Change. To avoid surprises, check your usage first on Admin → Billing → Plan & Usage. See Check plan usage and limits.

Switch between monthly and annual billing

To keep the same plan but change how often you pay, go to Admin → Billing → Overview → Change plan, choose the other billing cycle, and click Switch to annual (or Switch to monthly) on your current plan. Review the change and click Confirm Change.

Cancel your platform plan

Cancelling stops renewal at the end of the current billing period. Until then, all features stay available.

  1. Go to Admin → Billing → Overview and click Cancel subscription.
  2. Choose why you're cancelling, add optional feedback, and click Continue.
  3. Depending on your reason, Before you go… may offer alternatives: Pause billing, Switch plan, Accept Offer (a discount), or Talk to us. To decline, click Continue cancelling — this schedules the cancellation with no extra confirmation step.
  4. If there are no offers, review Confirm Cancellation and click Confirm Cancellation.

You see Cancellation scheduled, along with a list of the features and limits you'll lose when the paid plan ends. Your content is kept.

Undo a cancellation or re-subscribe

  • Right after cancelling, click Undo cancellation.
  • Later, while the status is Cancels soon, click Reactivate on Admin → Billing → Overview.
  • After the paid plan has ended, click Re-subscribe on Admin → Billing → Overview to choose a plan again.

Pause billing instead of cancelling

When the cancel flow offers Pause billing, choose how many months and click Pause billing. Your community stays online, and billing restarts automatically at your regular price when the pause ends. To restart sooner, click Resume billing on Admin → Billing → Overview. Annual plans can't be paused.

Change or cancel from the creator dashboard

In Dashboard (app.mateflow.com) → Communities → [your community] → Plan, the community's owner clicks Manage plan in community admin and follows the steps above.

A workspace teammate who manages billing but doesn't own the community makes changes on that page instead: pick a plan in Change plan and click Confirm change, or click Cancel subscription (it ends at the period end) and, later, Resume subscription.

Things to know about changing plans

  • Cancel subscription only appears when your community has an active paid subscription and you can manage billing. During a free trial there's nothing to cancel — if you don't subscribe, the trial simply ends. See Your platform plan and free trial.
  • Cancelling your platform plan doesn't delete your community. To remove it, see Pause, delete, or restore a community.
