Your platform plan sets limits on things like members, spaces, storage, and AI requests. This article shows where to see how much you've used, how to read the numbers, and what happens when you reach a limit.
Who can do this: Community owners and admins. · Where: Web (admin console and creator dashboard). · Plan: The limits (quotas) themselves depend on your platform plan.
Check usage on the Plan & Usage page
The Plan & Usage page (Admin → Billing → Plan & Usage) shows your plan's name and two sections: Usage and Plan features.
Usage lists each metered resource — for example Members, Spaces, Courses, Chatrooms, Access groups, Admins, Moderators, Automations, Webhooks, AI requests / month, Events, Knowledge base storage, Live quota (participant-hours / month), and Storage. How to read a row:
- used / limit · % with a bar — a resource with a cap. The bar turns amber when you get close and red at the limit. Resources closest to their limit are listed first.
- Unlimited — no cap. These are grouped at the bottom.
- Not included — your plan doesn't include this resource, so you can't add any.
- N · over platform plan — you're using a resource your current plan doesn't include, usually after a downgrade.
- A Trial badge with Trial ceiling — [limit] once you subscribe — during an unpaid trial this limit is lower; it goes up when you subscribe.
If anything needs attention, the plan name shows Approaching limit or Limit reached.
Plan features shows which features your plan includes. Locked features need an upgrade. Click Change plan at the top to compare plans.
Check storage on the Storage Usage page
Go to Admin → Billing → Storage Usage. The Storage Overview shows:
- Used, Plan Limit, and Available storage.
- Usage Breakdown by images, videos, audio, documents, and attachments, and a Usage Trend chart.
- Plan Details: your Base Limit, Addon Storage, and Max Upload Size (the largest single file members can upload).
If the numbers look out of date, click Recalculate Storage. Owners can click Purchase Additional Storage to buy more. The same page also shows Live streaming usage. See Check live streaming usage and limits.
Other places that show plan usage
- Admin → Billing → Overview has a Usage card. When you're close to a limit it says You are approaching your limit on [resources]. Consider upgrading to avoid disruption.
- Admin → Dashboard → Overview has a Plan card with members, spaces, storage, and the resources nearest their limits.
- In the creator dashboard, a community's Overview has a Usage & limits card, and its Plan page has a Usage section for Members, Spaces, and Storage.
- AI usage has its own page: see Understand AI usage and credits.
What happens when you reach a plan limit
When a resource reaches its limit, Mateflow stops you from adding more of it. Items you already have stay in place.
- Create buttons are disabled. Hovering shows Limit reached. Upgrade your plan to add more., with an Upgrade link next to the button.
- An upgrade dialog opens when you try an action your plan doesn't allow or has no room for. It says, for example, You've used [N] of [limit]. Upgrade your plan to get more. Click View Plans to compare plans.
- Teammates who can't manage billing, such as moderators, see This feature isn't included in the community's current plan. Please contact a community administrator. instead of View Plans.
- Storage: uploads fail with Storage Full — Your community has reached its storage limit. Upgrade your plan or purchase additional storage. A single file over your plan's upload size shows File Too Large.
To raise a limit, upgrade your plan (see Change or cancel your plan). For storage and AI, owners can also buy add-ons in Admin → Billing → Add-ons (see Buy add-ons and top up your wallet).
