Link your community's own terms of service, privacy policy, and cookie policy so members see them when they sign up and at the bottom of every page. The same page sets a minimum age for new members. Mateflow doesn't host the text of your policies: publish them on your own website, then paste the links here.
Who can do this: Community owners and admins. · Where: Web (admin console). Members see your links on the web. The minimum age also applies when people sign up in the Mateflow app. · Plan: Available on every platform plan.
Add links to your terms of service, privacy policy, and cookie policy
- Go to Admin → Settings → Legal. The page is called Legal & Compliance.
- Under Legal Documents, enter the full address, starting with https://, of each page:
- Terms of Service URL
- Privacy Policy URL
- Cookie Policy URL
- Click Save Changes at the bottom of the page.
Each field is optional. Under a blank field, the page shows "Leave blank to use the platform default:" followed by the Mateflow page that members will see instead.
Where members see your legal pages
On the web, your terms of service, privacy policy, and cookie policy links appear in four places:
- Footer: Terms, Privacy, and Cookies always appear at the bottom of the right sidebar, or in the left menu on phones, even when the footer is turned off. See Customize navigation, links, and footer.
- Sign-in page: "By continuing, you agree to our Terms of Service and Privacy Policy."
- Sign-up page: "By signing up, you agree to the Terms of Service and Privacy Policy."
- Cookie banner: Learn more opens your cookie policy.
When a link is blank, these places open Mateflow's own terms, privacy, or cookie page, in the member's display language.
The Mateflow app's sign-in and sign-up screens always link to Mateflow's own Terms of Service and Privacy Policy, not the links you set here.
The cookie consent banner
The first time someone opens your community on the web, a cookie banner says: "We use necessary cookies to run this community. With your consent we may also use optional cookies." The visitor clicks Necessary only or Accept all, and Mateflow remembers the choice.
Every community shows this cookie consent banner. You can't turn it off or change its text. What you control is where Learn more goes, with Cookie Policy URL.
Set a minimum age for new members
Under Age & minor protection, you decide how old new members must be and how sign-up checks it (GDPR Article 8 protection of minors).
- In Minimum registration age, enter the age in years. It's 16 unless you change it, even if you never open this page.
- Choose how the age is checked with Require date of birth:
- Off: sign-up shows the checkbox "I confirm that I am at least 16 years old." (with your age). People must tick it to create an account.
- On: sign-up asks for a Date of birth. People younger than your minimum age see "You must be at least 16 years old to join." and can't register.
- Click Save Changes.
The age check applies to email sign-up, including paid sign-up, where it runs before payment, on the web and in the Mateflow app. People who sign up with social login or single sign-on (SSO) skip it. To put everyone through the age check, turn off social login and SSO. See Set up social login.
Handle members' data requests (GDPR)
Members can download their own data and delete their account themselves. See Export your data or delete your account.
When a member asks you instead, use Data subject requests on the Legal page: click Manage members, open the member's page, and choose from the actions menu:
- Export data (GDPR): queues a full export of the member's data.
- Anonymize member: scrubs the member's name, email, and avatar. It can be reversed only during a short grace period, then it's permanent. The community owner can't be anonymized.
