Manage RSVPs, capacity, and attendees

After you create an event, the Manage event panel lets you run it: see who's coming, change RSVPs, handle the waitlist, check people in, send announcements, and export the attendee list (guest list or registrations).

Who can do this: Community owners and admins, the event's creator and co-hosts, and the space's admins and moderators. · Where: Web (Manage event on the event page, or Admin → Content → Events) and the iOS and Android apps. · Plan: Events depend on your platform plan.

Open an event's attendee list

  • Web: open the event, click Manage event, then Attendees. The header shows how many people are registered.
  • Admin console: go to Admin → Content → Events, open the event, and click the Attendees tab.
  • App: open the event, tap ⋯, tap Manage event, then Open the attendee list.

Each person has an RSVP status: Attending, Maybe, Not going, or Waitlist. In the app, members answer Going, Maybe, or Pass.

Find and export event attendees

Use Search attendees..., filter by status, and sort by Newest first or Oldest first. Click the message icon next to a person to send them a direct message.

Click Export CSV to download the list. It follows the status filter you've chosen. In the admin console, Export CSV leaves out email addresses; admins can choose CSV + email. In the app, tap Export attendees (CSV); export a very large list from the web instead.

Change an attendee's RSVP

Open the person's ⋯ menu and choose Set to attending, Set to maybe, or Set to not going. Remove from list also sets them to not going, after you confirm: they lose their spot. To change several people at once, select them first.

If the event is full, setting someone to attending puts them on the waitlist instead ("Event is full — moved to the waitlist instead"). To make room, raise the capacity.

Set an event's capacity and manage the waitlist

Edit the event to change Capacity (empty means unlimited) and Guests per attendee (0 means no guests). Guests count toward capacity. When the event is full, members see Join waitlist, and new RSVPs go to the waitlist.

When a seat opens up, because someone withdraws, you remove someone, or you raise the capacity, the next person on the waitlist is usually moved in and notified. Check the Waitlist filter to confirm. You can't lower the capacity below the seats already taken.

Close registration or set a deadline

When you edit an upcoming event, the Registration section has Close registration now ("Nobody new can sign up. People already attending can still withdraw.") and a Registration deadline. Members then see "The host has closed registration for this event." See Create an event.

Check attendees in at an event

For in-person and hybrid events, a Check-in tab appears from the day of the event, in the event's time zone. Only people who are attending can be checked in. Click Check in as each person arrives, or Undo check-in. The list shows guests each person brings. Members may earn attendance points when checked in. In the app, check people in from the attendee list.

Send an announcement to event attendees

  1. In Manage event, click Announcements.
  2. Under Audience, pick who gets it: Attending, Maybe, Waitlist, or Everyone who RSVP'd. For in-person and hybrid events, you can also pick Checked in or Registered but did not check in.
  3. Enter a Subject and Message, then click Send.

People who said they're not going never receive announcements. Each event can send only a limited number of announcements in a period. Past messages appear under Sent announcements.

How event reminders work for attendees

Members who RSVP Attending or Maybe get a reminder automatically, at the time they chose in Settings → Notifications (Default reminder offset). On the event page, they can change it with Remind me before: Off, 15 min, 1 hour, or 1 day. People on the waitlist get a reminder once they're moved in, and Not going removes it. Hosts can't change members' reminders; send an announcement instead.
