Run a recurring event series

A recurring event, or event series, turns one event form into a set of dated occurrences: a weekly meetup, office hours every two weeks, or a monthly call. Each occurrence is its own event, with its own RSVPs and attendee list.

Who can do this: Anyone who can create events in the space can create a series. Changes to the whole series (editing this and later occurrences, adding dates, cancelling the rest, deleting it) are for the series' creator, community owners and admins, and the space's admins. Co-hosts can change only a single occurrence. · Where: Web and the iOS and Android apps. · Plan: Events depend on your platform plan.

Create a recurring event series

You set the repeat pattern when you create the event. You can't add it to an existing event.

  1. Open the event form and fill in the details. See Create an event.
  2. Turn on Make recurring.
  3. Choose the Frequency: Weekly, Every 2 weeks, or Monthly.
  4. Pick the Day of week, or for monthly events the Day of month. In shorter months, a day that doesn't exist falls on the month's last day.
  5. Under End condition, choose End by date or End after N occurrences.
  6. Check the preview ("Will generate … events"), then click Create Event.

A series can have up to 52 occurrences. Owners and admins can also create a series from Admin → Content → Events.

In the app: on the New event screen, turn on Repeat this event, choose the Frequency, set Ends (After a number of times, or On a date), and tap Create event.

How members see an event series

On the web, each occurrence shows a Series event badge with its place in the series (for example, 3 of 8). Previous and Next move between occurrences, and View all lists every occurrence with All, Upcoming, and Past filters. Members RSVP to each occurrence separately.

In the app, tap the Session (or Repeats) label on an event to open All occurrences.

Edit one occurrence or the rest of an event series

  1. Open the occurrence, click Manage event, and click Edit.
  2. Choose Edit this event only or Edit this and future events.
  3. Make your changes and save.

With Edit this and future events, the date, time, and time zone are locked: "To change the recurring schedule, end this series and create a new one." In the app, choose Only this one or This and all later ones. In the admin console, use Apply changes to.

Add more dates to an event series

On the web, open any occurrence, click Manage event, then Danger Zone. Under Extend this series, enter How many and click Extend. New occurrences follow the series' pattern after the last one. In the app, open All occurrences and tap Add dates.

To change the pattern itself, cancel the series from the point where it changes, then create a new series.

Cancel or delete an event series

  • Cancel: in Danger Zone, click Cancel event, choose Cancel this event only or Cancel this and future events, enter a reason (at least 10 characters), and click Cancel event. Attendees are notified if Notify attendees is on. Cancelled occurrences stay visible with a cancelled badge. In the app, choose Cancel the rest of the series. In the admin console, open the series' first event, click Series, and choose From this occurrence forward or Whole series.
  • Delete: on the event you originally created, Danger Zone shows Delete All Events, which permanently removes every occurrence after you type the event's title. A series with attendees or orders can't be deleted: "This series has attendees or orders. Cancel it instead of deleting it."
