Use Import / Export to add many people to your community at once from a CSV file, or to download a list of your members. Both run in the admin console, and every job is kept in a history you can come back to.
Who can do this: Community owners and admins. · Where: Web (admin console, Admin → Members → Import / Export). · Plan: Not tied to a platform plan feature.
Prepare a CSV file for a member import
The import reads columns by name. Column names aren't case-sensitive, the order doesn't matter, and extra columns are ignored.
| Column | Required | What it does |
|---|---|---|
email |
Yes | The member's email address. A file without this column fails as a whole. |
display_name |
No | The member's name (a name column also works). If empty, the part of the email before the @ is used. |
username |
No | If empty, it's made from the display name. Usernames must be unique in your community. |
tags |
No | Member tags, separated by ;. |
To start from a sample, click Download template in the import dialog.
A few rules to know before you import:
- Tags must already exist. Unknown tag names are skipped and reported as warnings; the member is still imported. Create tags first with Tag Management on Admin → Members → All Members.
- Everyone is imported as a regular member. You can't set roles from the file.
- Access groups can't be set from the file, and imported members don't get your Default Access Group either. Add their groups afterwards on each member's page. See Add or remove a member's access group.
Import members from a CSV file
- Go to Admin → Members → Import / Export and stay on the Import tab.
- Click New Import.
- Under Upload CSV, choose your file. Only CSV files are accepted. If the file is too big, you'll see the maximum size.
- Choose a Mode:
- Create only: new people are created. A row whose email already belongs to a member fails.
- Create or update: new people are created. Existing members keep their profile and role; only their empty fields are filled in, and tags are added.
- Click Run Import.
The import runs in the background. Its progress and results appear under Latest import, and every job is listed in Import History.
Imported members don't get an email
A CSV import doesn't send any email and doesn't create invitations, and you can't send one later from the admin console. Let people know they've been added. They sign in with the email address from your file by resetting their password.
To invite people with an email instead, use Admin → Members → Invitations. See Invite members.
Check the results of a member import
Each import shows Total rows, Imported, and Failed.
- Errors are rows that weren't imported, for example a missing or invalid email, an email that's already a member in Create only mode, or a username that's already taken.
- Warnings are rows that were imported with something left out, such as an unknown tag.
Click Download import report to get a CSV listing every error and warning by row number. Fix the failed rows in your file and import them again.
Export members to a CSV or JSON file
- Go to Admin → Members → Import / Export and open the Export tab.
- Click New Export.
- Tick the fields to include. All of them are selected at first:
email,display_name,username,role,status,created_at,last_active_at,verified,tags, andtiers(the member's access groups). - Optionally narrow the list with Role Filter (optional), Status Filter (optional), Joined After, and Joined Before.
- Choose a Format: CSV or JSON.
- Click Run Export.
A small export is ready right away under Your export is ready; click Download. A larger export is queued and appears in Export history when it's done.
Download links stay valid for a limited time. After that, the link shows as Expired; run the export again to get a new one.
Export only selected members
- Go to Admin → Members → All Members.
- Select the members you want.
- Click Export in the bar that appears.
The export dialog opens with only those members. The role, status, and date filters don't apply to a selection.
Exports contain personal data such as email addresses. Store and share the files according to your privacy policy.
