Add or remove a member's access group

Add an access group (previously called a member tier) to a member by hand when you want to give them access without a subscription, for example a complimentary membership. You can also remove a group, fix a member's benefits, and see every change to their groups.

Who can do this: Community owners and admins, and custom roles with the Manage access groups permission. Moderators can't. · Where: Web (admin console, on the member's page). · Plan: Access groups depend on your platform plan.

Add an access group to a member

  1. Go to Admin → Members → All Members and open the member.
  2. On the Overview tab, find the Access Groups card and click Manage.
  3. In Manage Access Groups, choose a group from the Access Group list.
  4. Optionally, add a Note (Optional) that explains why, for example "Manual upgrade approved by support".
  5. Click Assign access group.

The member keeps any access groups they already hold and gets access to everything the new group unlocks. The change is logged. A group you add by hand has no end date. It stays until you remove it, even if the member's subscription ends.

If Manage is unavailable, your community doesn't have any access groups yet. See Create an access group and choose what it unlocks.

Remove an access group from a member

  1. Open the member's page and click Manage on the Access Groups card.
  2. Under Current Access Groups, click the × next to the group.
  3. In Remove access group?, click Remove.

The member loses access to everything that group unlocks, unless another group they hold unlocks it too. Access they got another way, such as a space they bought, isn't affected. You can add the group back later.

Removing an access group from a paying subscriber

You can't take away an access group that comes from a member's subscription. If the member's plan grants the group, Mateflow adds it back immediately, even though the page reports that it was removed. This applies while the subscription is valid, including a subscription that's cancelled but hasn't reached its end date yet. Removing the group also doesn't cancel the subscription or refund the member.

To end a paying member's access, cancel their subscription in Admin → Monetization → Subscribers instead, or change which access group the plan grants. When a subscription ends, Mateflow removes that plan's group automatically. Groups you added by hand stay. See Manage subscribers, payments, and refunds.

Re-sync a member's access group benefits

If a member holds an access group but still can't open a space or course it unlocks, re-sync their benefits:

  1. Open the member's page and click Manage on the Access Groups card.
  2. In the Access Group list, choose the group they already hold. The button changes to Re-sync benefits.
  3. Click Re-sync benefits.

This keeps the current access group and applies its benefits again. Nothing is added to the history.

View a member's access group history

On the Access Groups card, click View change history. The Access group history dialog lists every change to the member's groups, including changes made automatically by subscriptions and nightly reconciliation.

Each entry shows the action (Assigned or Removed), the group, when it happened, and where the change came from, such as Manual, Stripe payment, or Automatic adjustment. Changes made by an admin include that admin's name. Older entries can also read Upgraded to or Downgraded to.

Manual changes also appear on the member's Admin Log tab as Access group assigned or Access group removed.

Things to know about changing access groups

  • You change access groups one member at a time. The All Members list has no bulk action for access groups, and a CSV import can't assign them.
  • Deleting an access group removes it from every member who holds it.
