Create an access group and choose what it unlocks

Create an access group (previously called a member tier) to give a set of members access to specific spaces, along with a badge. You set it up once, then connect it to a subscription plan or add members to it yourself.

Who can do this: Community owners and admins, and custom roles with the Manage access groups permission. Moderators can't. · Where: Web (admin console, Admin → Members → Access Groups). · Plan: Access groups, and how many you can create, depend on your platform plan. Check Admin → Billing → Plan & Usage.

Create an access group

  1. Go to Admin → Members → Access Groups.
  2. Click Create Access Group.
  3. On the Basic tab, enter an Access Group Name (up to 50 characters) and a Description (up to 200 characters). Both are required, and the name must be unique.
  4. On the Appearance tab, choose an Access Group Icon and a Badge Color. Members see this badge next to their name.
  5. On the Space Access tab, add the spaces this group unlocks. See the next section.
  6. Click Create Access Group.

If the page says Access Groups need a higher platform plan, your plan doesn't include access groups. If the create button shows an upgrade prompt instead, you've reached the number of access groups your plan allows. See Check plan usage and limits.

You can also manage access groups from the community's Members page: click the settings icon (Members settings) and open the Access groups tab.

Choose which spaces an access group unlocks

  1. Edit the access group and open the Space Access tab.
  2. Click Select a space to add, search for the space, and select it. Repeat for each space.
  3. To remove a space, click the × next to it.
  4. Save the group.

Members who hold the group get into the listed spaces automatically. Access groups gate Private and Secret spaces; anyone can already join a Public space.

A space can also be linked to an access group from the space's own Access Policy, under Access groups that unlock this space. Courses are linked from the course's settings with Included in access groups. Those links also count, but they don't appear on the group's Space Access tab. See How access groups work.

Connect an access group to a subscription plan

Plans grant access groups, not the other way around, so you make the connection in the plan:

  1. Go to Admin → Monetization → Subscription Plans and edit a Member upgrade plan.
  2. On the Access & Benefits tab, under Member access, choose the access group. Each plan grants exactly one group.

Subscribers get the group when their subscription starts and lose it when it ends. The access group's Space Access tab shows the connected plans under Bound Member Plans. See Create a subscription plan: pricing, trials, and benefits.

Set a default access group

Turn on Default Access Group on the group's Basic tab to use it as a baseline for everyone:

  • New members are added to it when they sign up.
  • When you turn it on, existing members who don't hold any access group are added to it.
  • Members keep the default group when they later get other groups.

Only one access group can be the default. Turning it on for one group turns it off for the previous one. The default group shows a Default label in the list.

Edit or reorder access groups

  • Edit: open the group's actions menu (⋯), click Edit Access Group, make changes, and click Update Access Group.
  • Reorder: drag a group by its handle. When a member holds several groups, the one nearest the top is the badge shown next to their name. The order doesn't change what any group unlocks.

Delete an access group

  1. Open the group's actions menu (⋯) and click Delete Access Group.
  2. Confirm with Delete Access Group. This can't be undone. Access groups can't be archived.

Members who held the group lose it, and their other access groups stay. Within about 10 minutes they also lose space memberships and course enrollments that came only from this group. Access they got another way, such as buying the space, joining it directly, or being added by an admin, stays.

If a member is left with no access group at all, they're added to the Default Access Group, if you have one. If you delete the default group itself, new members aren't added to any group until you set another default.

Mateflow blocks the deletion while the group is still in use:

  • Bound to a plan: "This access group is still bound to one or more plans." Change the plan's access group, or archive the plan, first.
  • Unlocking a space: "This access group is still used as the unlock condition for…" Remove the group in that space's Access Policy first.
