The mastermind lives or dies in the six days between calls
Coaching groups have one structural weakness, and anyone who has run one knows it. The call itself is excellent. The week after it is silence. The Zoom link sits in a calendar invite, the recording lands in a Drive folder someone has to be reminded about, the worksheets are attachments in a two-month-old email, and accountability โ if it happens at all โ happens in a group chat that scrolls past midnight and is unsearchable by Thursday. By week six a third of the cohort has quietly gone dark, and you find out at renewal. That isn't a content problem. It's a container problem.
The Coaching & Mastermind template is the container. Program is a Course space, so the curriculum is something members work through on their own time and the call stops being a lecture. Coaching Calls is an events space: sessions are scheduled with RSVPs, calendar sync, and automated reminders, and the follow-up thread sits next to the session instead of in a folder. Members Chat absorbs the fast, informal traffic. Discussion carries the questions that deserve a considered answer and stay findable. Structure only pays off if you're deliberate with it. The two pinned starter posts โ the welcome, and "Weekly coaching calls live here" โ exist because a mastermind that doesn't tell people where to go gets asked in DMs instead. Put the hot-seat sign-up in Coaching Calls, not the chat, or it scrolls away. Send between-call prompts to Discussion, where the answers stay searchable. Ask for wins on a schedule: a quiet Wins space is the earliest reliable signal that a cohort is drifting, and it shows up weeks before anyone actually cancels on you.
Where coaching programs leak members
The program is spread across five tools nobody opens
Curriculum in Notion, recordings in Drive, calls in a calendar invite, accountability in WhatsApp, payments somewhere else. Every extra tool is a place a member can quietly stop showing up. The template puts the course, the calls, the chat, and the wins behind one login.
Accountability dies in a group chat
A commitment made in a chat on Tuesday is unfindable by Thursday, because chat is chronological and nothing in it is meant to persist. Discussion and Wins are persistent, searchable spaces โ a stated goal stays on the record, and so does whether it happened.
You learn someone disengaged when they cancel
In a Zoom-plus-Drive-plus-chat stack there's no visible signal of drift. Attendance lives in one tool, effort in another, and neither talks to your billing. When calls, participation, and membership sit in the same product, the member who stopped showing up three weeks ago is obvious.
Questions coaches ask before moving a program
No. Events attach a Zoom, Google Meet, or livestream link โ or a physical address for in-person sessions. Courses โ the catalog, the learning player with text, video, file, embed, and quiz lessons, progress tracking, and certificates โ are included from the Starter plan, which covers three courses. Growth and above lift that to unlimited, with no per-course charge. Gating events by member tier does require Growth. The rest of the template's spaces (announcements, calls, chat, discussion, wins) are available on Starter, so a program that isn't curriculum-led yet can start lower and add the Program space later.
Yes. You create subscription tiers, connect your own Stripe account, and lock spaces, events, and content to the tiers you choose โ the upgrade prompt appears inside the gated space itself. Mateflow's platform fee starts at 3% and drops to 2%, 1%, and 0% as you move up plans; standard Stripe processing fees apply on top.
Yes, on every plan that runs courses โ which is all of them. Finishing a course issues a completion certificate, collected on the member's My Certificates page, and every certificate has a public verification page anyone can check by its number โ no login needed. For coaching programs that clients cite professionally, that verification page is the part that actually matters.
Yes, but the template doesn't do it for you out of the box โ it ships one shared set of spaces. For separate cohorts you add private spaces and gate them by membership tier, so each cohort gets its own room while sharing the Program, the Wins feed, and your brand. Worth planning before you invite anyone.
It's better at one specific thing: keeping the program in one place, on your domain, with billing attached to the member. If your cohort is five people who all reply within the hour, a group chat is genuinely fine. The stack starts failing at the point where you can't tell who's engaged, and that's usually somewhere past twenty members.
