Associations run on a renewal cycle, not a feed
Most associations don't have an engagement problem twelve months a year. They have one for about six weeks โ the stretch around renewal, when the invoice lands and a member who hasn't opened an email since last spring decides whether the letters after their name are worth another year of dues. Everything you build in the other forty-six weeks is really evidence for that one decision. So a community platform is only useful to an association if it produces that evidence: a visible record that this member showed up, was quoted, hired someone, got hired, or ran a session.
The second thing outsiders miss is that an association isn't one community. It's a head office, a chapter network that runs on volunteer energy, a set of committees that behave like small working groups, and a membership that mostly wants two things โ people and jobs. This template ships that shape instead of a generic forum. Announcements is admin-only, so the official record stays clean and quotable. Chapters is an open feed where regional groups post their own activity without waiting on head office. Committees is a chat space, because working groups move faster than a threaded board lets them.
The two spaces that quietly earn the renewal are the Member Directory and the Job Board. The directory is what a new member opens in week one to decide whether their peers are actually here. The job board is what a lapsed member comes back for, and coming back is how re-joining starts. Both sit behind approval-based membership, so access is the benefit rather than a nice-to-have. Events sits alongside them with RSVPs, calendar sync, and automatic reminders at 24 hours and 1 hour โ so the AGM, the chapter mixer, and the monthly committee call land in members' own calendars instead of a PDF nobody opens.
What actually breaks in an association community
Renewal is a cliff, not a curve
Members decide in one week whether a year of dues was worth it, and they decide on what they can remember. If the year left no visible trace โ no posts, no events attended, no directory profile anyone looked at โ the renewal email is arguing from nothing.
Chapters drift out of sight
Regional chapters run on volunteers who won't chase a head-office CMS login. So chapter activity ends up on someone's personal Facebook group, invisible to the association, and the national body finds out a chapter is dying about a year after it died.
The directory is the benefit, and it's a spreadsheet
Members join for access to other members, then get a PDF list that was accurate in 2023. Meanwhile the committees that do the association's real work are coordinating over email threads that no incoming committee chair can ever reconstruct.
Questions associations ask before switching
No, and it's worth being blunt about it. Mateflow is the community layer โ spaces, members, events, content, payments. It does not do AMS work: no dues invoicing with purchase orders or cheques, no CE credit tracking, no accreditation reporting, no board elections or proxy voting. Plenty of associations run Mateflow next to an AMS or a spreadsheet. If you need a system of record for regulated credentials, Mateflow is not it.

Mateflow's platform fee starts at 3% and drops to 2%, 1%, and 0% as you move up plans, with Stripe's own processing fees on top. What it isn't: an accounts-receivable system. If your members pay by invoice and cheque, that stays wherever it lives today.

If your chapters need their own homes, you create a space per chapter and set it to private, then use member tiers or invitations to control who lands where. That's a setup decision, not a plan upgrade โ you're not limited to the six spaces the template ships with.
Yes โ this template ships with approval-based membership turned on, which is the normal association posture. New joins wait for a human to approve them, and you can also turn on content approval so first posts are reviewed before they appear. Between the two, you can run a professional body where the membership badge means something and the job board doesn't fill up with recruiters.
The template's Member Directory is a curated grid space that admins publish into, and every member also has a profile with posts, activity, and mentions attached. It is not an AMS-grade directory: no custom membership fields, no filtering by credential or region out of the box, and members don't self-serve their directory listing. If a filterable, structured directory is the core reason you're buying, ask us before you commit.

One caveat worth knowing before you plan the calendar: events are unlimited on every plan, but restricting an event to a specific member tier (members-only AGM, paid-track sessions) requires Growth or above.
